These Terms & Conditions apply to the following BIBI initiatives and incentives promoted via bibiexpo.com: My First Stand, BIBI Through Her Eyes, BIBI Inked By Her, BIBI Changemaker Award, and BIBI Big Pitch. These initiatives are presented on the website as part of BIBI’s community-based incentives and enquiry structure.

By applying, entering, submitting materials, participating, being shortlisted, accepting a place, or accepting any award, feature, pitch opportunity, stand, recognition, or related benefit under any of these initiatives, you agree to be bound by these Terms & Conditions.

1. About BIBI

BIBI Expo is presented on bibiexpo.com as a platform designed to support and celebrate South Asian women through business, innovation, visibility, growth, and connection, with BIBI’s incentives positioned as opportunities to support, showcase, connect, and collaborate.

For the purposes of these Terms & Conditions, “BIBI”, “we”, “us”, and “our” means BIBI COLLECTIVE LTD and/or the organisers of BIBI Expo.

2. Scope of these Terms

These Terms apply to all applicants, nominees, entrants, participants, finalists, shortlisted individuals, winners, stand recipients, presenters, speakers, contributors, and any person or organisation taking part in:

• My First Stand
• BIBI Through Her Eyes
• BIBI Inked By Her
• BIBI Changemaker Award
• BIBI Big Pitch

These Terms should be read together with:

• the website Terms & Conditions
• the BIBI Privacy Policy
• any application form, campaign page, call for entries, submission brief, pitch rules, judging criteria, exhibitor pack, or email correspondence issued by BIBI
• any event, ticketing, exhibitor, safeguarding, or venue rules applying to BIBI Expo 2027

If there is any conflict between these Terms and a specific campaign brief or initiative page issued by BIBI, the specific campaign brief or initiative page will take priority to the extent of that conflict.

3. Eligibility

Unless otherwise stated in writing for a specific initiative:

• entry is open to individuals, founders, creatives, writers, filmmakers, social impact leaders, businesses, and early-stage ventures that BIBI considers aligned with the aims of the relevant initiative;
• entrants must provide complete, accurate, and truthful information;
• entrants under 18 must not apply or participate without prior written consent from a parent or legal guardian and express approval from BIBI;
• BIBI reserves the right to set, amend, or apply additional eligibility criteria for any incentive, including criteria relating to geography, identity, sector, business stage, originality, category, or alignment with BIBI’s mission.

BIBI may require proof of identity, age, address, business status, authorship, ownership, or eligibility at any stage.

4. Application and entry process

Applications and expressions of interest may be submitted through bibiexpo.com, by email, through official BIBI forms, or via any other method expressly approved by BIBI. The live website currently routes enquiries for these initiatives through its contact/enquiry structure.

You must:

• submit all requested information by the stated deadline;
• ensure your submission is your own work or that you have all rights, permissions, licences, and consents required;
• ensure that any statements made in your application are honest and not misleading;
• comply with all formatting, timing, and submission instructions issued by BIBI.

Late, incomplete, corrupted, misdirected, altered, fraudulent, bulk, automated, or illegible submissions may be rejected at BIBI’s discretion.

5. Initiative-specific principles

5.1 My First Stand

My First Stand is intended to support selected individuals, brands, founders, creatives, or businesses by providing an opportunity to showcase their work or offering at BIBI Expo.

Unless otherwise stated in writing:

• a “stand” may mean a complimentary stand, subsidised stand, feature space, showcase area, activation area, or other exhibition opportunity determined by BIBI;
• the exact size, location, fit-out, furniture, branding allowance, staffing allowance, power supply, and inclusion list will be determined by BIBI;
• the stand may not be sold, transferred, assigned, sub-licensed, exchanged for cash, or used on behalf of another person or brand without BIBI’s prior written approval;
• recipients must comply with all exhibitor, health and safety, venue, branding, conduct, and setup/breakdown requirements issued by BIBI.

BIBI reserves the right to substitute the format of the opportunity where reasonably necessary.

5.2 BIBI Through Her Eyes

BIBI Through Her Eyes is understood as BIBI’s film-based creative initiative. Any submitted film, video, audio-visual piece, trailer, teaser, still, synopsis, treatment, supporting statement, or related material must be original or properly licensed by the entrant.

Unless otherwise stated:

• entrants retain ownership of their original work, subject to the licence granted to BIBI under these Terms;
• the entrant is solely responsible for obtaining all rights and clearances, including music, footage, archive, artwork, contributor permissions, likeness rights, and location permissions;
• BIBI may edit excerpts, trailers, stills, titles, captions, and promotional materials for reasonable promotional use.

If BIBI publishes a maximum runtime or submission format elsewhere, that specific requirement will apply.

5.3 BIBI Inked By Her

BIBI Inked By Her is understood as BIBI’s writing-based initiative. Any essay, article, story, poem, script extract, opinion piece, or other written submission must be the original work of the entrant unless collaboration is expressly permitted.

By submitting to this initiative, you warrant that:

• the work is substantially your own;
• it does not infringe any copyright, trademark, confidentiality, privacy, or other rights;
• it is not defamatory, obscene, hateful, discriminatory, or unlawful;
• it has not been generated, copied, or submitted in breach of any rules specified by BIBI.

BIBI may specify word counts, themes, genres, language requirements, or formatting requirements in the relevant call for entries.

5.4 BIBI Changemaker Award

BIBI Changemaker Award is intended to recognise impact, service, leadership, community contribution, or meaningful positive change.

BIBI may accept self-nominations, third-party nominations, or internally selected nominees, at its discretion. Nominees may be required to provide supporting evidence, references, impact statements, links, testimonials, biographies, media, or other verification materials.

Recognition under this award is honorary unless BIBI expressly states otherwise. No cash alternative is implied unless specifically advertised.

5.5 BIBI Big Pitch

BIBI Big Pitch is a live or staged pitch opportunity in which selected participants may present an idea, venture, business, concept, product, or service to judges, investors, partners, an audience, or a BIBI panel.

Unless otherwise stated:

• being shortlisted to pitch does not guarantee funding, investment, mentorship, media coverage, follow-on meetings, or commercial success;
• any “investment”, prize, support package, or follow-up opportunity will be subject to separate terms, due diligence, negotiation, legal documents, and eligibility checks;
• BIBI is not providing regulated financial, legal, tax, or investment advice by hosting the pitch;
• any investment or offer resulting from the pitch may be conditional, discretionary, or dependent on further review.

Participants are responsible for ensuring that their pitch materials are accurate, lawful, and do not mislead judges, audiences, or potential partners.

6. Judging, selection, and decisions

Unless otherwise stated, all selections, shortlist decisions, judging outcomes, line-ups, invitations, awards, and allocations will be determined by BIBI and/or its appointed panel in its sole discretion.

BIBI may assess entries by reference to factors including:

• originality
• quality
• relevance
• impact
• clarity
• audience fit
• innovation
• feasibility
• presentation
• alignment with BIBI’s ethos and event programming needs

BIBI may:

• shortlist fewer entries than expected;
• decide not to make an award or allocation;
• merge categories;
• change judges;
• interview entrants;
• request more information;
• move a participant into a different but related opportunity.

BIBI’s decisions shall be final unless it chooses, at its sole discretion, to reconsider a matter.

7. Deadlines, timing, and event changes

BIBI Expo 2027 is currently promoted on the website as taking place on 18–19 August 2027 at Olympia, London.

However, BIBI reserves the right to:

• change application windows, shortlisting dates, announcement dates, showcase dates, or pitch times;
• amend or cancel any initiative;
• alter the event schedule, venue details, format, or running order;
• move any element online, hybrid, pre-recorded, or off-stage;
• substitute benefits of materially similar value where reasonably necessary.

BIBI shall not be liable for changes caused by matters outside its reasonable control, including venue issues, safety concerns, force majeure, regulatory action, travel disruption, illness, technical failure, sponsor withdrawal, panel changes, or insufficient qualifying entries.

8. No guarantee of selection or commercial outcome

Submission or application does not guarantee:

• selection
• shortlisting
• exhibiting
• screening
• publication
• recognition
• judging feedback
• funding
• investment
• publicity
• press coverage
• introductions
• future work
• a commercial relationship with BIBI or any third party

Any references by BIBI to exposure, visibility, growth, opportunity, support, connection, collaboration, investment, showcasing, or recognition are descriptive of the initiative and not a guarantee of specific results. This wording reflects how BIBI presents its broader platform and incentives on the website.

9. Entry content and intellectual property

You retain ownership of the original intellectual property in the content you submit, except where otherwise agreed in writing.

By entering or submitting materials, you grant BIBI a worldwide, non-exclusive, royalty-free, sublicensable licence to:

• review
• copy
• store
• reproduce
• edit for formatting
• publish
• display
• exhibit
• screen
• distribute
• promote
• publicise

your name, biography, likeness, business name, brand assets, pitch deck title, extracts, stills, trailers, clips, written excerpts, quotes, and submitted materials for purposes connected with:

• administering the initiative
• judging and shortlisting
• event programming
• press and PR
• website and social media promotion
• sponsor and partner decks
• post-event reporting
• future promotion of BIBI and its initiatives

Where full works are to be published or exploited beyond normal promotional use, BIBI may seek additional permission, but is not obliged to do so where the use is already covered by this clause.

10. Moral rights, credits, and editing

BIBI will endeavour to credit entrants appropriately where reasonable, but does not guarantee placement, formatting, prominence, or the inclusion of every credit request.

You consent to reasonable editing, excerpting, reformatting, captioning, subtitling, cropping, resizing, clipping, or abridgement of submitted materials for operational, accessibility, editorial, promotional, or technical reasons, provided the substance is not materially misrepresented.

11. Warranties by entrants

By entering, you confirm and warrant that:

• your submission is truthful and not misleading;
• you own or control all rights necessary for the submission and its use under these Terms;
• you have obtained all necessary permissions from collaborators, performers, interviewees, photographers, videographers, co-authors, and any other contributors;
• your submission does not infringe any third-party rights;
• your submission is not defamatory, abusive, threatening, discriminatory, obscene, hateful, or unlawful;
• you will comply with all applicable laws and regulations;
• any business, product, service, claim, number, forecast, financial statement, testimonial, or impact statement you present is honest, supportable, and not deceptive.

12. Disqualification and withdrawal

BIBI may reject, remove, disqualify, suspend, or withdraw any entrant, nomination, recipient, finalist, winner, showcase, or pitch opportunity at any time if:

• eligibility criteria are not met;
• false or misleading information is provided;
• plagiarism, infringement, fraud, manipulation, or misconduct is suspected;
• the entrant behaves in a way that may damage BIBI’s reputation, values, event integrity, safety, or lawful operation;
• required documents, permissions, attendance confirmations, or deadlines are not met;
• the entrant breaches these Terms or any other applicable BIBI rule.

If an entrant withdraws or becomes unavailable, BIBI may substitute another entrant or choose not to fill that place.

13. Conduct, safeguarding, and event participation

Anyone attending, pitching, exhibiting, screening, speaking, filming, or taking part in person must:

• behave professionally and respectfully;
• comply with venue, health and safety, security, safeguarding, and accessibility instructions;
• avoid harassment, intimidation, abuse, discrimination, disruption, or unsafe behaviour;
• follow any technical, staging, setup, rehearsal, accreditation, or timing requirements.

BIBI may remove any participant from the event or initiative for misconduct, lateness, non-compliance, safety concerns, or reputational risk, without liability.

14. Costs and expenses

Unless BIBI expressly confirms otherwise in writing, entrants are responsible for their own:

• travel
• accommodation
• visas
• insurance
• shipping
• printing
• production costs
• pitch preparation costs
• stand dressing or fit-out costs
• equipment hire
• staffing costs
• incidental expenses

Any support provided by BIBI is limited to the specific items expressly stated in writing.

15. Investment, prizes, awards, and non-cash benefits

Where an initiative includes or may include investment, a prize, a stand, a feature, a screening, publication, recognition, mentoring, media support, or another benefit:

• the benefit is non-transferable unless BIBI agrees otherwise in writing;
• no cash alternative is available unless expressly stated;
• BIBI may substitute a benefit where reasonably necessary;
• benefits may be subject to additional contracts, verification, onboarding, or compliance steps.

For BIBI Big Pitch, any investment-related outcome remains subject to investor discretion, legal documentation, due diligence, commercial negotiation, and any regulatory requirements that may apply.

16. Publicity

If you are shortlisted, selected, awarded, or featured, BIBI may announce your name, image, biography, business or project details, excerpts of your submission, and related media across its website, press materials, event screens, partner communications, and social media.

You agree to take part in reasonable publicity, photography, filming, interviews, PR activity, and promotional activity connected with the initiative and BIBI Expo, provided such use is lawful and proportionate.

17. Data protection

Personal data submitted in connection with these initiatives will be processed by BIBI for purposes including:

• administering entries and applications
• eligibility checks
• judging and shortlisting
• contacting entrants
• event planning and delivery
• publicity and reporting
• legal and operational record-keeping

18. Confidentiality

Unless clearly marked and agreed by BIBI in advance, submissions should not be treated as confidential.

In particular, participants in BIBI Big Pitch should assume that pitch presentations, business concepts, and materials may be heard, seen, or discussed by judges, event staff, attendees, sponsors, media, and third parties. BIBI does not accept responsibility for protecting ideas that are disclosed publicly or semi-publicly as part of the pitch process.

If you believe any material is commercially sensitive, do not disclose it unless you are comfortable doing so and have taken your own legal advice.

19. Recording and photography

BIBI Expo may be photographed, filmed, live-streamed, recorded, or otherwise documented. By participating in any initiative or attending related activities, you acknowledge that your name, image, likeness, voice, pitch, performance, stand, project, or work may appear in recordings and promotional content.

BIBI may use those materials for legitimate promotional, archival, editorial, documentary, sponsor-reporting, and commercial purposes connected with BIBI and future editions of its events and initiatives.

20. Cancellation, suspension, and force majeure

BIBI may cancel, postpone, suspend, modify, or discontinue any initiative, stage, judging process, screening, publication, award, or pitch opportunity if reasonably necessary.

BIBI shall not be liable for any failure or delay resulting from events outside its reasonable control, including but not limited to acts of God, fire, flood, epidemic, pandemic, war, civil unrest, terrorism, venue closure, transport disruption, labour disputes, internet failure, platform failure, legal restrictions, or supplier failure.

21. Liability

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded or limited under applicable law.

Subject to that:

• BIBI does not accept liability for loss, damage, cost, disappointment, missed opportunity, reputational loss, technical malfunction, submission failure, or business loss arising from participation in an initiative;
• BIBI does not guarantee uninterrupted website availability, secure transmission, successful upload, or error-free administration;
• BIBI is not responsible for any third-party acts, omissions, investment decisions, judging opinions, media coverage, or commercial outcomes;
• BIBI’s total liability in relation to any initiative shall, to the fullest extent permitted by law, be limited to the direct value of the specific benefit expressly offered to the participant, or £100, whichever is lower.

22. Right to amend

BIBI reserves the right to update, amend, supplement, withdraw, or replace these Terms at any time where reasonably necessary for legal, regulatory, operational, editorial, safety, or event-management reasons.

The latest version should be published on bibiexpo.com or otherwise made available by BIBI. Continued participation after any update constitutes acceptance of the revised Terms.

23. Severance

If any provision of these Terms is held to be invalid, unlawful, or unenforceable, the remaining provisions shall continue in full force and effect.

24. Third-party rights

Unless expressly stated otherwise, a person who is not a party to these Terms has no right to enforce any provision of them.

25. Governing law and jurisdiction

These Terms and any dispute or claim arising out of or in connection with them shall be governed by the laws of England and Wales.

The courts of England and Wales shall have exclusive jurisdiction, except that BIBI may bring proceedings in any other jurisdiction where reasonably necessary to protect its rights.
